Low show-up rates are a common webinar challenge. Industry average show-up rates are around 35-45% of registrants. Here are ways to improve yours: - Send reminder emails (24 hours, 1 hour before) - Add calendar invites at registration - Send SMS reminders if you have numbers - Build anticipation with pre-webinar content - Choose a good time for your audience - Keep the registration-to-event gap short Also make sure the webinar topic genuinely delivers on what the registration promised. Show-up is a fixable number, and it's almost always the reminder
sequence plus the registration-to-event gap. Diagnose which, then fix.
FIRST: WHAT'S YOUR ACTUAL RATE?
Benchmark is 35–45% of registrants. Under 25% means the sequence is
broken, not weak. Which are you? That decides how aggressive the fix is.
THE TWO ROOT CAUSES, RANKED
1. THE GAP. If people register 2+ weeks out, they forget they cared.
Intent decays fast. Shorten the promotion window — most
registrations should come in the final 5 days, not the first.
2. THE SEQUENCE. A single "starting soon" email isn't a sequence.
REMINDER SEQUENCE THAT ACTUALLY HOLDS THEM
On register Calendar invite (.ics) — the single highest-leverage
step. A calendar block beats any email.
−1 day "Here's what you'll walk away with" — re-sell the value,
don't just remind. Restate the specific outcome.
−1 hour "We're live in 60 min, here's the link"
−10 min "Starting now" — this one recovers the most no-shows
+SMS If you have numbers, the −10 min as a text. SMS show-up
lift is large and underused.
THE UNDERRATED LEVER — attendance value
Give people a reason the recording can't replace: a live Q&A, a
worksheet only attendees get, a live demo. "I'll just watch the replay"
is the #1 no-show rationale, and it's beaten by making live genuinely
better than on-demand.
AFTER THE EVENT
The no-shows are still leads. An on-demand version + "sorry we missed
you, here's the recording" recovers conversion from the 55% who didn't
make it. Don't write them off.
WHERE TO START
Add the calendar invite and the −10 min reminder this week. Those two
alone typically move show-up 10–15 points, and you'll know inside one
