A second brain system could really help! You'll want something that lets you capture ideas quickly so you don't lose them, and then some way to organize and find them later. You might think about categories or tags that make sense for your work. Some people use apps like Obsidian or Notion for this. You could also think about linking related ideas together. The key is consistency—if you set up a system, you need to use it regularly. You probably want to define what goes into the system and when you do regular reviews to see what you've captured. 2. Weekly review (Friday 30min): Sort inbox into long-term storage or archive
STORAGE STRUCTURE (predictable retrieval)
Folders:
/clients → {client-name}/{project} → meeting notes, contracts, feedback
/research → {topic} → articles, competitor analysis, market trends
/ideas → {category} → repeatable frameworks, templates, scripts
/archive → old projects (searchable but not active)
TAGGING SCHEME (enables cross-project connections)
• @outcome_gained → insights you've used in work
• @test_this → hypothesis or tactic not yet tried
• @client_problem → mapped to solved client issues
• @reusable_template → frameworks you copy-paste repeatedly
RETRIEVAL TRIGGERS (when you actually need it)
Q: "Which clients asked about automation?" → Search @client_problem + "automation"
Q: "What pricing strategies have I tried?" → Search /research:pricing + @outcome_gained
Q: "Do I have a proposal template?" → Search /ideas + @reusable_template
