Zapier, Make and n8n Automation Recipe Builder
Designs no-code automations that run unattended: exact trigger, mapped fields, dedupe, error alerts, approvals, and monthly task cost.
Before & after
Same prompt, same agent — the only difference is the skill.
Automation is a great idea for scaling. There are a few different tools that could work for that — Zapier, Make, and n8n are the popular ones. You'd need to think about where your leads come from (a form, landing page, email?), where you want them to go (CRM, spreadsheet, email?), and what the follow-up looks like. Do you have a preferred tool already? And where are you capturing leads right now?
AUTOMATION RECIPE: Lead Capture → Follow-up Email → CRM Log
TOOL: Zapier (simplest for this flow)
TRIGGER:
When: New lead submits your contact form on your website
Form tool: Whatever you use (Typeform, Gravity Forms, etc.)
Data captured: Name, Email, Phone, Company, "What are you interested in?"
STEP 1: Send immediate reply email
Tool: Gmail or your email provider
Template: "Thanks for reaching out! I'll follow up within 24 hours."
Send to: New lead's email address
Why: Sets expectation, confirms they submitted
STEP 2: Add to spreadsheet (your CRM alternative)
Tool: Google Sheets or Airtable
Data to log: Name, Email, Phone, Company, Interest, Date received, Stage ("New lead")
Why: Centralize all leads in one place to track
STEP 3: Create task for yourself
Tool: Todoist, Asana, or any task manager
Task: "Follow up with [Lead Name] — they're interested in [Topic]. Send detailed email."
Due date: Next business day (auto-set)
Why: Ensures you don't forget
STEP 4 (Optional): Send to Slack
When: Lead comes in
Message: Post to your #sales or #leads channel with lead details
Why: Team visibility if you have one
FULLER SEQUENCE (if you want automated email follow-up):
(Add to Step 2 above)
Step 2b: Trigger email sequence
Tool: ConvertKit, Mailchimp, or GetResponse (if lead opts in)
Day 1: "Here's what we offer"
Day 3: "Here's a case study"
Day 5: "Quick question: timeline?"
Why: Keeps you top-of-mind without manual work
TYPICAL SETUP TIME: 20 minutes (most of it is writing email templates)
NO-CODE REQUIRED: True (all point-and-click)
COST: Zapier basic tier ($20/month) + your email/CRM tools you already have
TEST BEFORE LAUNCH: Submit a test lead yourself to make sure emails send + data logs correctly.About this skill
Automate the repetitive parts of your creator or small business without the recipe breaking in week two. Every design checks feasibility, cost, and failure handling before you build.
What it does
- Checks whether the platform actually allows the step through its API before promising it
- Specifies the exact trigger, filters, and field mappings, including what happens when a field is empty
- Adds dedupe, error alerts, and a run log so nothing double-posts or silently fails
- Puts human approval in front of anything public or sent to many people
- Estimates monthly tasks or operations against your plan
What you get
A step-by-step recipe for Zapier, Make, or n8n with feasibility flags to verify and a short test plan.
Best for
Creators, coaches, and solo operators cross-posting content, capturing leads, and automating follow-ups.
