Webinar Promo and Show-Up Plan
Backsolves your registration target, builds the dated email, social, and reminder plan that fills seats and gets registrants to show up.
Before & after
Same prompt, same agent — the only difference is the skill.
Promote your webinar across multiple channels to build attendance. Start with email to your existing list, then expand to social media. Create compelling copy that highlights the value and who the webinar is for. Share the registration link everywhere. You might also consider paid ads if you have budget. Post reminders as the event gets closer, especially the day before and day of. Track how many people register and how many attend to measure effectiveness.
WEBINAR PROMO SEQUENCE: 6-WEEK TIMELINE WEEK 1-2: AWARENESS PHASE • Email 1: Announcement (subject: 'Secure your spot') • Social media: 3 posts (Mon/Wed/Fri) - Teaser, speaker bio, agenda • Paid ads (if budget): $5/day minimum, lookalike audience WEEK 3-4: CONSIDERATION PHASE • Email 2-3: Follow-up to non-converters (Day 10, 17) • Social media: 4 posts - Highlight Q, Q&A preview, scarcity angle, value takeaways • LinkedIn article: Deep-dive related to webinar topic WEEK 5: URGENCY PHASE • Email 4-5: 'Last 48 hours', 'Seats still available' • Social media: 5 posts in rapid succession (daily) - Behind-the-scenes prep, speaker Q&A, attendee FOMO • Slack/Discord (if applicable): Announcement in community channels WEEK 6: FINAL PUSH • Email 6: 'Tomorrow 3pm' reminder • Email 7: 1 hour before, Zoom link • Social media: 3 live countdown posts (4hrs, 1hr, 15min before) POST-WEBINAR • Email 8: Recording link + replay window • Email 9: 'Last 24 hours to watch' METRICS TO TRACK Email open rate, click rate, registration rate, registrant-to-attendee conversion, social impressions, paid ad cost-per-registration.
About this skill
Your webinar is on the calendar, the registration page is up, and the count is stuck at 40. Or you got 400 sign-ups and only 60 people showed up. This skill fixes both ends of that funnel. It works out how many registrants you actually need, splits invites from reminders so registered people stop getting "sign up" emails, and plans every touch from launch day through replay expiry.
What it does
- Works backward from your live-attendee goal to the registrants, page visits, and sends you need, and tells you plainly if your list can't get there
- Runs two separate tracks: invites for people who haven't registered and reminders for people who have, with suppression rules so nobody gets the wrong message
- Lays out a dated calendar that gets denser near the event, with the day-of sends (morning, 1 hour before, "we're live") that do the most for attendance
- Writes the copy for each touch, including subject lines built on one concrete promise, native social posts, and swipe copy for partners with per-partner tracking links
- Adds show-up boosters (calendar add on the thank-you page, a pre-work email, a reason to attend live) and sets a replay policy so the replay doesn't undercut live attendance
- Plans post-event emails split by attendees and no-shows, with a replay deadline
What you get
A dated promo calendar showing the channel, audience segment, message, and CTA for each touch, the funnel math behind your targets, and ready-to-send copy for each touch. It also works for a single reminder email or a rescue plan when the webinar is three days away.
Best for
Creators, coaches, consultants, course sellers, and small B2B teams running free live webinars or workshops, especially ones that end with an offer.
